Who we are

Veraxis Consulting Ltd is a company registered in England and Wales (Company No. 15499328), with a registered office at Profile West Suite 2, First Floor, 950 Great West Road, Brentford, TW8 9ES.

For the purposes of data protection law, Veraxis is the data controller for the personal data described here. You can contact us about anything in this policy at connect@veraxis-consulting.co.uk.

What we collect and why

We only collect what you choose to give us, plus basic technical information needed to run the site.

• Contact form: your name, company, email address, the reason you picked and your message. We use it to reply to you and to keep a record of the conversation.
• The Diagnostic: your answers, plus anything you add on the context screen (name, email, role, industry, organisation size and what prompted you to take it). Your name and email are optional. We use your answers to produce your report, to save it so you can come back to it through your private link and to follow up if you ask us to.
• AI in your Diagnostic report: the summary assessment at the top of your report is written by an AI model (Claude, made by Anthropic) from your answers, using our method. We send it your answers and what you write on the context screen. We never send it your name or email address. The assessment is produced automatically and we don't review it before you see it, so treat it as a starting point for discussion, not advice.
• Diagnostic report by email: if you give your email address, we send you a copy of your report link.
• Newsletter: if you sign up to our newsletter, your email address, so we can send it to you.
• Analytics: if you accept cookies, HubSpot and Google Analytics record which pages you visit and how you found the site. If you then contact us, HubSpot links those visits to your enquiry. If you decline, Google Analytics sets no cookies and only receives an anonymous signal that a page was viewed, so we can count visits. See our Cookie Policy.
• Technical data: our hosting provider keeps standard server logs (such as IP address, browser type and the pages requested) for security and to keep the site running.

Our legal basis

• Legitimate interests: replying to enquiries, producing and saving your Diagnostic report, following up on a report you've asked us to discuss and keeping the site secure.
• Consent: analytics cookies, which are only set if you accept them.
• Legitimate interests: counting anonymous page views when you decline cookies, so we know how the site is used.
• Consent: sending you our newsletter or other marketing emails. You can withdraw consent at any time using the unsubscribe link in any email or by contacting us.

Who we share it with

We don't sell your data. We use a small number of trusted providers to run the site and our business. They only process your data on our instructions and under data protection terms.

• HubSpot: our customer relationship system. Contact form enquiries and newsletter sign-ups are stored here, in HubSpot's EU data centre.
• Microsoft Azure: hosts this website and stores saved Diagnostic responses.
• Microsoft 365: sends Diagnostic report emails and handles our email.
• Anthropic: provides the AI model that writes the summary assessment in your Diagnostic report. It receives your answers and context, never your name or email address, and does not use them to train its models.
• Google: provides Google Analytics, which tells us how the site is used. Its advertising features are switched off.
• Slack: our internal messaging tool. We receive a short alert with your enquiry or Diagnostic summary so we can respond quickly.

Some of these providers may process data outside the UK. Where they do, they rely on recognised safeguards such as the UK International Data Transfer Addendum or an adequacy decision.

How long we keep it

• Enquiries and contact records: for as long as we're in touch and for up to two years after our last contact, unless you become a client.
• Saved Diagnostic responses: for up to two years, so your report link keeps working. You can ask us to delete yours sooner.
• Newsletter: until you unsubscribe.

Keeping it safe

We take appropriate technical and organisational measures to protect your data. Diagnostic reports are only available through a private link with a unique key. That key is never stored in a readable form.

Your rights

You have the right to:

• Access the personal data we hold about you
• Correct or update it
• Ask us to delete it
• Restrict or object to how we use it
• Ask us to transfer it to another provider
• Withdraw consent where we rely on it

To use any of these rights, email connect@veraxis-consulting.co.uk. You can also complain to the Information Commissioner's Office (ICO) at https://ico.org.uk, though we'd appreciate the chance to put things right first.

If the business changes hands

If Veraxis Consulting Ltd is sold, merges or is restructured, your data may be transferred as part of that process. Any new owner would have to respect this policy.
